Lyte Services L.L.C. — Event Rental Terms, Conditions & Rental Contract

1. Overview and Purpose

This Terms, Conditions, and Rental Contract outlines the full agreement between Lyte Services L.L.C. (Provider) and the Client/Event Host (Client) regarding the rental of event equipment and related services. By making a payment, signing this agreement, or accepting a quote, the Client acknowledges that they have read, understood, and agreed to all the following terms. These terms are designed to ensure fairness, transparency, and safety for both parties while protecting the quality and longevity of Lyte Services’ rental equipment.

2. Reservation and Payment Policy

Quotes and proposals do not guarantee availability. Reservations are confirmed only after a valid credit card, signed contract, and a 25% non-refundable retainer fee (50% for orders over $2,000) are received. Full payment is due 7 days before the event, and a matching photo ID and credit card must be presented.

3. Cancellation Policy

25% (or 50% for large orders) deposits are non-refundable. Cancellations 8+ days before the event are eligible for a 50% refund. Cancellations made less than 7 days before the event will be charged the full rental amount. Weather-related cancellations are not guaranteed refunds unless Lyte Services cancels for safety reasons.

4. Security Deposit and Damages

Client authorizes Lyte Services to charge their card for damages, theft, or losses. Clients will be notified within 48 hours of inspection if damages occur. A damage report and invoice will be provided before any charge is processed.

5. Liability and Indemnification

Client agrees to hold harmless and indemnify Lyte Services L.L.C. from all claims or damages arising from the use or misuse of rental equipment. The Client assumes full responsibility for any personal injury or property damage caused during the event.

6. Delivery, Setup, and Pickup

Delivery fees are based on geographic location and accessibility. The client must be present to count items upon delivery and pickup. Orders are typically delivered 1–3 days prior to the event and picked up 1–2 days after. A checklist ensures proper preparation for pickup.

7. Weather Policy

Tents and inflatables are temporary structures that provide limited protection from elements. In case of extreme weather, clients must evacuate. Lyte Services may cancel setup if unsafe. Refunds are not guaranteed for weather-related cancellations.

8. Rental Protection Plan (Optional)

A 10% damage protection fee covers the first $150 of accidental damage and 50% of additional damage. Excludes theft, vandalism, weather, and negligence. Declining coverage makes the client responsible for full replacement costs.

9. Late Fees and Return Policy

Late returns incur a 25% daily fee for up to 4 days. Items not returned after 4 days are considered lost or stolen and billed at full replacement cost.

10. Cleanup and Care of Rentals

Client must return items clean and stacked as delivered. Permanent stains, burns, or missing items will be charged at replacement cost.

11. Late Payments and Collection Costs

Late payments are subject to a 5% daily fee. All collection fees, attorney fees, and court costs will be charged to the non-prevailing party.

12. Agreement Enforcement

Payment or signature confirms full acceptance of terms. Lyte Services reserves the right to modify policies while honoring existing agreements.

14. Client Acknowledgment

By signing below or submitting payment, I acknowledge that I have read and agree to the terms and conditions above and authorize Lyte Services L.L.C. to charge my card for applicable fees, damages, or unpaid balances.
